Setting up Filters in Pocket Informant for GTD

In Pocket Informant you have the ability to select multiple categories as part of a filter. You can make selection’s based on “any or all” things selected which in boolean terms is any = or and all = and. Then you can select filters by Filter Selected or Hide Selected. By using this we can create certain categories to help us filter out the To do Tasks to make a good system, that can show either work related or home/personal related items, as well as projects, inactive, and also a filter that will show all things that do not have a home or work category assigned.

First Filter – Work Active To-Do’s

  1. Go to the Task view in Pocket Informant.
  2. Select Menu button
  3. Select “Group By” then select “By Category”
  4. Select “Task Filtering” then select “All Dates”
  5. Select “Filter”
  6. A new screen will pop-up that will allow you to make filters.
  7. On the Right at the top of the page make sure it states “* ANY OF*”
  8. On the Left side at the top of the page make sure it states “*Hide Selected*”
  9. Then Click on the following Topics “- Home”, “! Project Cat”, “#Inactive”
  10. Press the Filter button on the bottom left side.

Make sure that the view is the correct view. This will create for you the view that will contain:

  • All Work To-do’s
  • Excluding Project Topics and Inactive Items.

Now we need to save this as a view if you are satisfied with what you have.

  • Select “Menu” from the bottom right side
  • Select “My Views”
  • Select “Save this View”
  • Call it GTD-Work (or anything you want)

Second Filter – Home Active To-Do’s

Now we will create a Filter for Home items. Follow steps 1-8 as above.

Click on the following Topics: “- Work”, “! Projects Cat”, “#Inactive”

Then continue through the rest of the steps calling this view “GTD – Home”.

This creates a view of all items for home or personal that is not a project topic or inactive.

Third Filter – Work Inactive To-Do’s
We are going to create a view now where we can look at Inactive items and be able to move them to active categories.

  1. Go to the Task view in Pocket Informant.
  2. Select Menu button
  3. Select “Group By” then select “By Category”
  4. Select “Task Filtering” then select “All Dates”
  5. Select “Filter”
  6. A new screen will pop-up that will allow you to make filters.
  7. On the Right at the top of the page make sure it states “* ANY OF*”
  8. On the Left side at the top of the page make sure it states “*Filter Selected*”
  9. Then Click on the following Topics “- Work”, “# Inactive”
  10. Press the Filter button on the bottom left side.

Make sure that the view is the correct view. This will create for you the view that will contain:

  • All Work To-do’s that are inactive.

Now we need to save this as a view if you are satisfied with what you have.

  • Select “Menu” from the bottom right side
  • Select “My Views”
  • Select “Save this View”
  • Call it GTD-Inactive-Work (or anything you want)

Fourth Filter – Home Inactive To-Do’s
We are going to create a view now where we can look at Inactive items and be able to move them to active categories.

  1. Go to the Task view in Pocket Informant.
  2. Select Menu button
  3. Select “Group By” then select “By Category”
  4. Select “Task Filtering” then select “All Dates”
  5. Select “Filter”
  6. A new screen will pop-up that will allow you to make filters.
  7. On the Right at the top of the page make sure it states “* ANY OF*”
  8. On the Left side at the top of the page make sure it states “*Filter Selected*”
  9. Then Click on the following Topics “- Home”, “# Inactive”
  10. Press the Filter button on the bottom left side.

Make sure that the view is the correct view. This will create for you the view that will contain:

  • All Home To-do’s that are inactive.

Now we need to save this as a view if you are satisfied with what you have.

  • Select “Menu” from the bottom right side
  • Select “My Views”
  • Select “Save this View”
  • Call it GTD-Inactive-Home (or anything you want)

Fifth Filter – Project To-Do’s

We will create this filter but we will not be able to show its use at this time and you will have to trust me until I am able to write the next section on the use of projects.

  1. Go to the Task view in Pocket Informant.
  2. Select Menu button
  3. Select “Group By” then select “By Category”
  4. Select “Task Filtering” then select “Projects”
  5. Select “Filter”
  6. A new screen will pop-up that will allow you to make filters.
  7. On the Right at the top of the page make sure it states “* ANY OF*”
  8. On the Left side at the top of the page make sure it states “*Filter Selected*”
  9. Then Click on the following Topics “”! Projects”
  10. Press the Filter button on the bottom left side.

Make sure that the view is the correct view. This will create for you the view that will contain:

  • All Projects

Now we need to save this as a view if you are satisfied with what you have.

  • Select “Menu” from the bottom right side
  • Select “My Views”
  • Select “Save this View”
  • Call it GTD-Projects (or anything you want)

Sixth Filter – Non Categorized Items

This one is just to help categorize items as work or home. It just displays all items that are not categorized.

  1. Go to the Task view in Pocket Informant.
  2. Select Menu button
  3. Select “Group By” then select “By Category”
  4. Select “Task Filtering” then select “All Dates”
  5. Select “Filter”
  6. A new screen will pop-up that will allow you to make filters.
  7. On the Right at the top of the page make sure it states “* ANY OF*”
  8. On the Left side at the top of the page make sure it states “*Hide Selected*”
  9. Then Click on the following Topics “- Home” and “- Work”
  10. Press the Filter button on the bottom left side.

Make sure that the view is the correct view. This will create for you the view that will contain:

  • All items not assigned to either Home or Work categories.

Now we need to save this as a view if you are satisfied with what you have.

  • Select “Menu” from the bottom right side
  • Select “My Views”
  • Select “Save this View”
  • Call it GTD-Non-Categorized (or anything you want)
